Assistant Property Manager -
Chicago
We have an immediate opportunity for an Assistant Property Manager to support our Chicago portfolio located in the Northwest neighborhoods. The position will work directly with the Property Manager, and have visibility to all company operations.
As an Assistant Property Manager, you must be self-motivated with an outgoing and friendly attitude and exhibit innovative and creative ideas to optimize the tenant experience and performance of the real estate portfolio. You must also be highly detail-oriented with solid organization, multitasking and administrative skills. It is also important that you display excellent communication and interpersonal skills as well as strong customer service. Finally, you must have a desire to work with us long-term, grow your career, and help grow a real estate business!
RESPONSIBILITIES
- LEASING (~30%)
- Prepare listings for all apartments (photos, videos, unit description, etc.)
- Coordinate with prospective tenants to explain unit and inform them of requirements
- Show apartments to prospective tenants
- Review and process applications
- Prepare leases
- Manage Move-In / Move-Out processes (coordinate cleaning, prepare keys, update mailbox labels, etc.)
- Manage lease renewal process
- RENT COLLECTION (~10%)
- Ensure rent is collected and follow-up on any delinquencies
- Charge late fees where appropriate
- Coordinate rent increases where appropriate
- Provide proper tenant notices (e.g. rent increase, 5-day notice, etc)
- SUBSIDY PROGRAMS (~10%)
- Support processes relating to subsidy programs (e.g. Chicago Housing Authority and others)
- MAINTENANCE & RENOVATIONS (~35%)
- First-line support for resident concerns / requests pertaining to building and unit issues
- Receive, prioritize, and assign resident’s maintenance requests
- Handle emergency issues after hours and escalate to management as needed
- Manage communications with residents, maintenance team, and vendors for all maintenance requests through to completion
- Work with Maintenance team to:
- Organize building and unit keys
- Order supplies as needed
- Visit properties on a regular basis to identify any issues and potential improvements
- PROPERTY MANAGEMENT (~15%)
- AppFolio
- Setup AppFolio for new properties, including entering property, unit, and tenant information; uploading leases and other relevant documentation
- Ensure tenant information is kept current in AppFolio
- Stay current on the latest functionality and features
- Finance & Accounting
- Record rent receipts and other receivables
- Record bills and other payables
- Set up new vendors
- Auditing
- Ensure all documentation (e.g. bills, leases, receipts, etc.) is organized on the shared drive
- Support monthly bank account reconciliation process
- Identify ways to continuously improve the various property management processes
- COMPANY ENGAGEMENT
- Provide a welcoming office environment and a high level of customer service
- Order office supplies as needed
- Support team engagement and activities
- Escalate team issues as they arise to Managing Partner
REQUIREMENTS

Experience/Education/Training
- High school diploma or equivalent
- Fluency in English and Spanish
- Experience working in residential property management or customer service roles
- Illinois broker or leasing agent license (or commitment to obtain license within first year)
- Minimum of 2 years’ experience with business operations software (e.g. financial system, property management software, issue tracking systems, etc)
- Competency working with Microsoft Office Suite (Excel, Word, Outlook) and other desktop applications
Special Requirements
- Ability to respond to emergencies (both during and after business hours) in a timely manner
- Potential physical demands may include ability to lift up to 15 lbs; standing, sitting, walking and occasional climbing
- The employee is required to work at a personal computer for extended periods of time as well as talking on the phone for extended periods of time
- Ability to work extended / flexible hours and weekends as needed
- Must have valid driver’s license and reliable vehicle
